Gresham Barlow saves time and works smarter, not harder, with Clubspaces softball league software

Suburban Portland, Oregon is the site for this competitive and fun American Softball Association (ASA) league in beautiful Gresham. With 150 players spread out over 15-18 teams every year, managing communications, logistics and individual requests became too much for any one person to handle. League officials turned to Clubspaces to help eliminate paperwork, streamline registration and facilitate communication. After one year using Clubspaces, things are looking up in the Pacific Northwest.

What sorts of problems were you having?

The problem we struggled with is that we passed information along to coaches and then they didn’t, in turn, get a hold of the parents. We had situations where nobody knew that there was Fall Ball or people would then miss the clinic coming up. Some of these are volunteer coaches and, in the off-season, they don’t think about softball, so the girls weren’t getting the information they needed.

How did you discover Clubspaces?

Our webmaster suggested Clubspaces. He pointed out that we could have up to 15 emails and websites so we discussed it and thought that it would be great to have one for each team. We’re trying to make it simpler for coaches and parents to communicate and for us as a league to effectively communicate throughout the off season by having one spot they can go and get information.

What aspects of Clubspaces do you enjoy?

I like the fact that we can put announcements up on our website. I just put together a flyer for a pitching clinic that we’re offering on a registration form and our webmaster threw it right up on the website. Last year was the first year we were able to do online registration, which was huge. That was a big bonus. I think that’s the best part of going with Clubspaces is that we can do online registrations. We don’t have to worry about any of the other hassles like collecting checks and that sort of thing.

The one thing we do a lot with Clubspaces softball league software is advertising for our sponsors, we can put links in to their websites. We’re still getting used to all of the different things that we can do with Clubspaces. Getting to know where the forms are and the documents. We also want to get people to put photos up about games.

How much time has Clubspaces softball league software saved you?

Instead of having to communicate the old fashioned way with phone calls and that sort of thing, we probably save 8-10 hours a week. This way, you can send out a blast email and contact people. More and more folks have email capabilities through their cell phones now so it is much easier to notify people if games are rained out. You don’t get the volume of phone calls from people wondering if the game is still going on.
