Aptos Little League is a vibrant collection of young athletes located on the shores of California’s beautiful Monterey Bay. With 475 annual participants, as well as officials, volunteers and a multitude of excited parents, Aptos Little League was looking for baseball league software to improve communication, reduce paperwork and turbo-charge efficiency.

What systems were you using before you discovered Online Registration and complete league management with Active?

When I first came to Aptos Little League, one of my duties was helping the player agent with registrations and managing all the data. Everything was done by hand with physical paperwork. It was all just hard copies of everything in folders. A few years later, we did our first online registration with Active and that helped tremendously. We had about a third of the kids sign up online. That meant we didn’t have to input about 150 registrations. The parents did it for us by registering online.

What other benefits were you able to see from using Active?

It really helped out with things like being able to track the residency documentation that Little League® requires. A lot of people don’t turn in their proof of residency documents on time, then you have to go back and hassle them. Last year was the first year that we actually got everybody to turn in residency documents by the deadline. Online Registration from Active made the registration process much more manageable and efficient.

With Active's baseball league software, you can see if they have residency documents, birth certificates, medical releases and other documents turned in. You can then follow up with those folks easily. In the past, it was extremely difficult to track all that.

How has Active helped you to become more efficient?

In the past, we had our original league management software only on one laptop, so only one person could work on it at a time. The player agent would be inputting stuff and then I’d take a turn and input some stuff, but only one person at a time could do anything.

Now, with Active’s League Management tools, multiple people could log in and help at any time. That really sped things up.

How has Active improved communication throughout your organization?

Last year, our league information officer was able to send out league emails through our account. It was incredibly important for our league communication and a tremendous step forward to have something in place that’s easy enough to use that was integrated into our registration system.

How much time would you say Active saves you each season?

Under our old system, inputting all the registrations for 475 kids would take about 40 hours. When we started using online registration, we automatically cut down our work time by 30%. When it comes to assigning kids to teams, it cuts down that time by half, at least. It probably cuts down the total amount of work to a third of what it was.

When you rely on so many volunteers to input all this information, the more you can streamline the work, the better.
