How to Suppress Mailing to Specific Participants When Sending Out a Mass Email in ClubReg

Product Tips and Tricks

If you choose to send out a mass email, but want to keep certain participants from receiving the email, you can do so by following these directions:

  1. Go to Staff tab
  2. Search for desired parent or staff member
  3. Select desired parent or staff member
  4. In the Person Maintenance screen choose Yes under the Suppress Mailing option
  5. Click Update
  6. Continue steps 1-5 for any additional participants you wish to suppress
  7. Send email

The Huntsville Amateur Hockey Association (HAHA) is a non-profit, volunteer corporation formed to promote the sport of hockey in the community of Huntsville, Alabama. HAHA began in 1962 and has been hugely successful, currently encompassing over 700 players on approximately 50 teams. In a city dubbed the “Hockey Capital of the South”, HAHA serves an avid community of athletes and offers time on the ice to all levels of players—whether prepping for the collegiate level or simply trying to learn the game.

Up until 2008, HAHA was using paper-based processes for all registrations. Patti Fulks, Association Registrar, and her husband Terry Fulks, Association Treasurer, would tediously enter and record the information for hundreds of players manually, and then make periodic trips to the bank to deposit the payments. Patti and Terry also struggled with reconciling bounced checks or late payments. “We would typically have up to $20,000 outstanding in accounts receivable in December,” Patti mentioned. “I would have to make collection calls and track down all missing payments. It was a complete ordeal.” These inefficiencies absorbed countless hours of Patti and Terry’s time and kept them from focusing on more important aspects of running the association.

HAHA decided to upgrade in 2008 and chose Active Network to provide their hockey registration software, LeagueRegister. Not only does Active have the tools to automate manual processes, but LeagueRegister synchs with USA Hockey’s membership database to instantly verify a player’s eligibility.

Once Active’s hockey management software was up and running, HAHA saw noticeable results immediately. Player information and payments were collected and processed smoothly, including instant verification of membership numbers with the USA Hockey membership database integration. Active’s software also offered a recurring payment function, which would bill installment payments automatically. No manual data entry, no trips to the bank, and less paper to maintain. Players and parents had convenient, 24/7 access to registration and there was a remarkable 75% decrease in outstanding fees.

I have been at Active nearly four years and am currently the Support Manager for the sports market. I have 19 people on my team and we are responsible providing product support to our clients. I really believe that Active’s customer service is what sets us apart from our competitors—we know our products, we know the market and we truly care about our clients!

  • We handle everything from “how-to” questions to troubleshooting technical needs.
  • We are the technical experts of our products, but most importantly, we are the “voice” of our clients. As first point of contact, we not only answer product questions, but also act as liaisons between our clients and other internal divisions within Active.
