A past participant list is a ready-made marketing database, full of friendly prospects. You have access to a list of people who not only indicated an interest in your event, but had a personal experience with it! Sending an email to past participants is a golden ticket to keeping registration numbers up. Don’t be shy about it—emailing past participants has become an industry standard and your athletes have come to expect it. If you don’t contact them when registration opens, fees increase or registration closes, they will forget and your deadlines will pass by unnoticed.

The California Youth Soccer Association (CYSA) serves over 200,000 registered players in 128 leagues and 350 clubs, within nine districts throughout Northern California. A non-profit organization with the motto “Kids First!”, CYSA has introduced children to the game of soccer for more than 40 years.

For all of their popularity, CYSA was mired in antiquated processes that reached a tipping point in 2006. The growth of the organization was being hampered by ill-fitting processes—CYSA realized they needed to upgrade their former systems in order to better serve their players and improve their administrative efficiency.

In 2006 the CYSA Board of Directors asked a special committee of league presidents to look into modernizing the registration process with a Web-based system. One year and 15 vendor proposals later, the committee decided Active Network’s LeagueOne system was the best fit. Featuring Web-based tools and a centralized database to facilitate smooth and instantaneous communication between state and local associations, LeagueOne had all of the elements the committee was looking for.

CYSA was ready to fully invest in the new system and took steps to prepare its coaches, registrars, referees and other constituents for the LeagueOne launch. After the training and implementation, CYSA rolled out the LeagueOne product to manage registration and membership online, roster submissions and approvals, and risk management. Local leagues can also integrate online registration and fee collection to parents, which links directly to the state database.

Over three successful years later, CYSA is still sure they made the right decision by choosing Active:

“The speed at which we can now get kids into the system and onto the field has been the biggest benefit to me. The whole point of our existence is to get kids playing soccer. We know at any given moment how many kids are registered and, if there’s an injury, we can immediately verify the child’s registration. Active’s support team has just been excellent in working with us and adding new resources to ensure our issues are always addressed in a timely manner. It’s definitely been the right decision on our part to work with Active and put this new Web-based system in place.”

Jared Norris, Technical Account Manager, LeagueOne

Jared Norris

I have been at Active for nearly three years, providing technical support to National Governing Bodies such as Pop Warner, Wisconsin State Soccer, California Youth Soccer Association and other state soccer programs using our LeagueOne product. When these programs need to make adjustments to their rules and regulations in LeagueOne, I am their primary contact. As changes are implemented, I am responsible for making sure no detail goes unnoticed and acting as a liaison between our clients and our development team. I also provide technical training on the functionality of LeagueOne to ensure that our clients are comfortable with every aspect of the technology.

My new Vizsla puppy, Nala, has recently been monopolizing my free time, but I am normally very involved in adult sports teams—baseball, flag football and softball. I’m a bit obsessed with professional sports and follow my Eagles and Padres religiously! During baseball season, I’m also a staff writer for fantasybaseballgeeks.com.
